Photo policy
Version 2026-10, last updated 26 October 2026
Photos are half the fun of a club, and the easiest way to upset someone. If you're in a photo on StudentSoc and want it gone, you can ask, and it's hidden straight away while we look.
1. Before you post
- Ask the people in a photo before you post it, especially from socials and nights out.
- Only post photos you took, or that you have permission to use.
- No nudity or sexual content, and nothing that mocks or humiliates someone.
- The nights-out rules in section 3 apply to every photo, not just Recaps.
2. Adding photos to an event Recap
After an event ends, its page gets a Recap tab where people can share photos.
- Who can add photos: the committee, and people who were going to the event, for 7 days after it ends (the committee can change this). For 18+ events you need to be 18 or over. In faith, political, LGBTQ+ and cultural societies only the committee adds photos.
- The committee checks every photo first. Your photo shows as “developing…” until a committee member approves it against the checklist below. Photos that aren't approved within 14 days are deleted.
- You confirm people are OK with it. Before you upload, you confirm that the people clearly visible are happy for the photo to be shared with the audience shown (for example “students at York” or “members of this club”).
- Your name isn't shown. Approved photos show as the club's photos. Only the committee and our moderators can see who added them.
- Uni-wide Recap: if the club shares the recap with everyone at the uni, its photos can appear in the uni's Recap feed for 14 days. Recaps from faith, political, LGBTQ+ and cultural societies never appear there, and recaps from 18+ or alcohol events are only shown to people who are 18 or over.
3. Nights out and alcohol: what can't be posted
Committees approve Recap photos against this list, and we remove any photo that breaks it:
- drinking games, downing drinks or “challenges”;
- people who look very drunk, passed out, asleep or being sick;
- anyone who looks under 18 holding or drinking alcohol;
- drinks brands or logos as the focus of the photo;
- nudity, people in underwear, or sexualised poses;
- toilets, changing rooms or showers, ever (taking photos there can be a crime);
- initiations or “hazing”;
- drugs, or anything that looks like drug use.
4. No tagging
You can't tag people in photos on StudentSoc. A tag would say who was at an event, which can be private. Please don't name people in captions or comments either unless they've said it's fine.
5. Faith, political, LGBTQ+ and cultural societies
A photo can reveal that someone belongs to one of these societies. Photos in these clubs are visible to members only, they never appear in the uni-wide Recap, and you should get each person's clear agreement before posting a photo where they can be recognised.
6. Location data is stripped
When you upload a photo we remove hidden location data and camera details (EXIF and GPS) before it's stored, so a photo can't reveal where someone lives.
7. Who can see photos
- Club and event photos are visible to signed-in students who can see that club or event. They're never shown to logged-out visitors.
- Photos in sensitive clubs and on members-only events are visible to members only.
- Photos from 18+ or alcohol events are only shown to people who are 18 or over.
- Club logos, banners and event covers are public, so don't put people in them without their permission.
8. Getting a photo taken down
If you're in a photo, or you're the parent, guardian or representative of someone who is, you can ask for it to be removed. This works for every photo, including ones in a Recap or the uni-wide Recap feed:
- Signed in: open the photo and choose “I'm in this photo — remove it”. It's hidden from everyone except the club's committee and our moderators straight away.
- No account: use the public removal form. Because we can't check who you are yet, the photo stays up while a moderator looks at your request.
A moderator then decides. If we uphold the request the photo is deleted for good. We tell you either way, and we never tell the club who asked.
9. Committees
Committees approve Recap photos, can hide or remove any photo in their club at any time, and should act quickly if someone asks them to. Removing a photo after a privacy request deletes the file straight away. The committee moderation guide explains how.
